Phoenix MedSpa Policies

The following policies are acknowledged and agreed to upon booking, and are designed to keep our scheduling fair, treatments consistent, and patient care seamless. Policies may be updated periodically without notice as we refine our systems and services.

Booking & Cancellation

To reserve your appointment, a valid card is required on file. This card is only charged in the event of a late cancellation (within 24 hours), reschedule within 24 hours, or a no-show, which is defined as arriving 15 minutes or more past your scheduled time. In these cases, a $50 fee will be applied to the card on file.

Your card information is securely stored and encrypted through Vagaro’s PCI-compliant system. Phoenix MedSpa never has direct access to your full card details, and charges are processed safely through Vagaro’s protected payment gateway.

These policies help us honor our providers’ time and keep appointments available for all clients. We appreciate your understanding and cooperation!

Bundles & Packages

To receive bundle or package pricing, full payment must be made prior to beginning any services included in the bundle. Services within a bundle must be used within one calendar year of purchase. After one year, any remaining services will expire. While Phoenix MedSpa does its best to remind clients of upcoming expirations, it is ultimately each client’s responsibility to schedule and complete their treatments before the expiration date.

Bundle purchases are non-refundable and non-transferable, and individual services within a bundle cannot be substituted or exchanged.

Banked Services

Phoenix MedSpa offers the option to ‘bank’ treatments for future use - this means purchasing a service with the intent to schedule it in the future. Banked services provide flexibility for clients who wish to take advantage of limited-time promotions or pricing.

All banked services must be used within one calendar year of purchase. After one year, any unused banked treatments or units will expire. While we do our best to remind clients of upcoming expirations, it remains the client’s responsibility to schedule and redeem banked services before they expire. Banked services are non-refundable, non-transferable, and cannot be exchanged for retail products, other treatments, or cash value.

Refunds and Exchanges

All services are non-refundable, non-exchangeable, and non-creditable once purchased. This includes all aesthetic treatments, packages, and prepaid or banked services.

Skincare products from Image Skincare and Epicutis are also final sale and cannot be returned, refunded, or exchanged. Skincare products from Dermamade may be returned for a refund if they are at least 75% full and returned within 30 days of purchase.
